How to Migrate From Square Appointments

Switching booking systems is mostly a data and communication exercise. Export what you own, map the fields you actually use, run one artist through the new workflow, and change public links only after the next booking works end to end.
Make a pre-migration inventory
List the information the studio uses every week: clients, upcoming appointments, artist availability, session types, deposits, notes, forms, and communication templates. This becomes the acceptance checklist for the new system.
Export before you cancel
Download the available CSV or other exports while the account is active. Keep the export in a controlled location, limit access to the people who need it, and do not upload sensitive records into an unapproved tool just to make the move easier.
Clean and map the data
Remove obvious duplicates, standardise phone numbers, and map columns to the new fields. Keep a copy of the original export so you can explain what changed. If a field does not map cleanly, preserve it as a note rather than silently dropping it.
Rebuild the tattoo-specific workflow
Set up artists, session types, buffers, deposits, intake questions, consent, and aftercare before sending clients to the new link. A migration is a chance to remove the workarounds that made a general scheduler frustrating.
Run a parallel test
Use a test client or one willing artist to complete the whole journey: booking, deposit, confirmation, consent, reschedule, completion, and aftercare. Verify the amount, client ownership, and resulting records before moving live traffic.
