How to Organize a Tattoo Studio Calendar

A calendar is only useful if it's true. The moment slots are held verbally, sessions run over unrecorded, or an artist keeps a private list, everyone stops trusting it and you're back to asking.

Block the week before it fills

Put the immovable things in first — drawing days, admin, cleaning, days off, guest weeks — then let bookings fill what's left. If you do it the other way round, the studio's own needs get squeezed out.

Book by room as well as by artist

Two artists free doesn't mean two stations free. Assign the room or chair on every booking so guest artists and short-notice fills don't create a clash on the day.

Kill the informal hold

"I'll pencil you in" is the single biggest source of calendar rot. Either the slot has a deposit against it or it has an expiry — 24 or 48 hours — after which it releases automatically and goes back on the public page.

Colour-code by state, not by artist

You already know whose day it is. What you need to see at a glance is which bookings are unpaid, which have no signed consent form, and which are unconfirmed. That view tells you where today's problems are.

Review Friday, fill Monday

Fifteen minutes at the end of each week: which slots are still empty next week, which clients are due a rebook, who's on the standby list. Quiet weeks are only quiet because nobody looked in time.

Frequently asked questions

Can I just use Google Calendar?
It shows availability but it can't take a deposit, issue a consent form, or stop a double booking from a DM. Most studios outgrow it as soon as a second artist joins.
How long should I block for a full-day session?
Longer than the tattooing. Include setup, stencil, breaks and cleanup, or every full day pushes into the evening.
Should clients see the calendar?
They should see bookable availability, not your internal blocks. The public page shows open slots; the studio view shows everything.
