How to Handle Difficult Tattoo Clients & Charge Cancellation Fees

A calm playbook for late cancellations, no-shows, endless redesigns and pushy clients — plus how to write and enforce a deposit and cancellation policy.


Most clients are great. A few will cost you days of income and a lot of stress. The fix is rarely a confrontation — it's a clear policy agreed before the appointment.

The five clients every studio meets

  1. The late canceller — cancels the night before a full-day session.
  2. The no-show — books, pays nothing, never arrives.
  3. The endless redesigner — wants a fourth version of the sketch.
  4. The haggler — questions your price on the day.
  5. The rescheduler — moves the date three times.

Write the policy once

A good policy covers:

  • Deposit amount and whether it's non-refundable
  • How much notice is needed to reschedule
  • How many reschedules are allowed before the deposit is lost
  • How many design revisions are included
  • What happens on a no-show

Keep it short and plain. Clients should accept it when they book, not discover it after.

Enforce it without the argument

  • Take the deposit at booking. A client with money down shows up far more often.
  • Send reminders. Many no-shows are simply forgetting.
  • Point to the policy, not your feelings. "As agreed when you booked…" ends most disputes.
  • Keep records. A signed consent form and the booking history help if a client disputes a card payment.

Scripts that help

Late cancel: "Thanks for letting us know. As per the policy you agreed to at booking, the deposit covers the reserved time. Happy to book you a new date with a fresh deposit."

Redesign number four: "Your booking includes two revisions. Additional design time is charged at our hourly rate — want me to go ahead?"
